Position: Guidance Secretary
Location: Northwestern High School
Reports To: School Counselor(s) & Building Principal(s)
Work Calendar: 206 days
Training Option: With mutual agreement, selected candidate may begin paid training in Spring 2026 to ensure a smooth transition into the role.
Position Summary
The Guidance Secretary supports the effective operation of the school counseling office and serves as an essential communication and organizational hub for students, families, counselors, and staff. This role requires exceptional attention to detail, strong interpersonal skills, and the ability to manage sensitive information with confidentiality and care.
Key Responsibilities
- Serve as the first point of contact for students and families seeking counseling or academic support.
- Manage scheduling for school counselors, including student appointments, parent meetings, and testing sessions.
- Maintain, organize, and update student records, transcripts, and enrollment/withdrawal documentation in accordance with state and district requirements.
- Support student scheduling processes, course requests, and communication about academic planning.
- Coordinate college, career, and military recruiter visits; assist with scholarship postings and application logistics.
- Prepare materials for state testing, ACT/SAT administration, and other assessment-related tasks.
- Assist in communication of counseling office announcements, newsletters, deadlines, and event information.
- Provide clerical support including correspondence, data entry, file management, and office organization.
- Uphold confidentiality and comply with all FERPA, district, and state guidelines.
- Perform additional duties as assigned by the counseling team or building administration.
Qualifications
- High school diploma or equivalent required; associate degree or higher preferred.
- Prior clerical, school office, or counseling office experience preferred.
- Strong technology skills (Google Workspace/Microsoft Office; student information systems preferred).
- Ability to communicate effectively with students, families, and staff with empathy and professionalism.
- Strong organizational skills, accuracy, and the ability to manage multiple priorities.
- Commitment to confidentiality and discretion with sensitive student information.
